● January 6, 2025 -Monthly meeting

General fund beginning balance $3868.78. Debits- $109.25 to Amazon for Microphones,
$9.27 to Ionis for website, $137.57 to Sams for Christmas Party supplies, $460.24 to
Ranchers Supply for award buckets, $312.92 to Tractor Supply for award buckets,
$246.41 to Gebos for award buckets, $57.37 to Dollar Tree for Christmas Party supplies,
$51.70 to Walmart for Christmas Party supplies, $9.94 to Toot n Totum for ice for

Old business discussed:
● We will not be doing the CASI Chili Cookoff as there is not enough participation
for us to successfully run a booth.
● Signs need to be ordered. We need to get a banner made for Ranchers. We are
ordering new signs for the club and for parades. A vote was taken for the color of
the signs to be black on white or white on black, Black on white won with a vote of
5 to 2.
New business discussed:
● Jacob brought up the idea of splitting the 31-49 playday age group to 31-40 and
41-49. There was discussion on how many entries are in each age group and how
adding another age group would add an additional saddle sponsor needed. Discussion
to split the 31-40 age group to 18-40 and 40 and up. Ultimately we decided to keep
the age groups the same, at least for another year and monitor the numbers
throughout this next year.
● Thank you cards need to be sent out to our sponsors. Brandi will take care of this.
● HF&C provided all the award buckles as a donation so there was no cost to us.
● Most of the money from the general fund is going to be transferred to the building
fund so that we can start building that account back up.
● We need to start getting saddle and banner sponsors for this year. We will need to
go up on the sponsor prices if we would like to do logos on the saddles instead of
just names. We decided to stay with the same prices and design as last year.
● We are looking at doing a pancake and sausage breakfast in the near future!!
● We need to fix the north end of the building and get the sign made with Shellys
name. Buster Bledsoe is getting available dates that he can play for our Shelly
Thompson Benefit. Michael spoke with Eric about getting new door closures for the
clubhouse.
● Everything has been winterized again. PLEASE DO NOT USE THE BATHROOMS!
● Paul brought up the idea of dropping the price of playday events for members. We
are going to table this until more members are present to vote.
● We need to get the raffle going earlier this year. Tabling till next month so we can
look at prizes.

Building fund beginning balance $1391.64 Debits- Hallmark Equine Insurance $700.00,
Hallmark Equine Insurance $26.25, Waste Wranglers $62.93. Credits- Transfer from
General fund for the remaining balance for 2024 $2,100.00. Ending balance $2,702.46.
General fund beginning balance $2,031.33. Debits- Transfer to Building fund for the
remaining balance for 2024 $2,100.00, $9.27 to Ionis for website, $57.89 to Xcel.
Deposits- $600.00 for memberships for Bowman, Hartman, Borrayo, Hsu,
White/Hitchcock, Bryant. Ending balance $464.17
Old business discussed:
● We have not been able to get ahold of the President of Rolling Hills Community
Association. From what we know Burger Barn makes a limited quantity of burritos
for the neighborhood garage sale, so instead of starting at the church we should
check with Burger Barn to see if we can start our Poker Run there.
● We have not had enough interest in the St. Patrick's day parade so we will not be
entering this year.
● Playday times are as follows
April and October- books open at 9:30am, books close at 10:30am, playday starts
at 11:00am
May, June, July, September- books open at 5:30pm, books close at 6:30pm, playday
starts at 7:00pm
New business discussed:
● Michael Rolen has got us a booth to sell raffle tickets at the Texas Ranch Rodeo
April 11th and 12th. We will look into getting koozies, stickers, and shirts for this
event. Would be a good idea to have the Queen and Princess in full attire to walk
around and try to sell tickets and possibly get some sponsors.
● Kelvin is needing to resign as Parade Director. Katie Chapman is interested in
helping with parades.
● We need saddle and banner sponsors for this year. If you need a sponsorship form
please get with Brandi or Beth.
● Dues are due by the end of March!!!

Old business discussed:
● Poker Run- We need donations for auction items. Some ideas are tickets, gift
cards, baked goods, items. The date has been set for July 12th. Registration will
be at Handle Bar 9-11 with a start time of 11 and end time of 5 at the Clubhouse.
Anita will get all the stops lined out and Krista will make a flyer. Entries will be $20
a hand or $30 for 2. We will do a taco bar for $10 a plate.
● West Texas Ranch Rodeo booth set up time is Wednesday by 1 Krista will help set
up and Beth and Brandi can work Friday evening and Saturday. We will make a post
on the members facebook page for volunteers to help work the booth.
● There was a discussion to up the saddle sponsors to $1000 but we ultimately
decided to stay at $800 because we already have a paid sponsor this year. We
decided to do away with the half saddle sponsor option. We need saddle and banner
sponsors for this year. If you need a sponsorship form please get with Brandi or
Beth.
● Playday times are as follows

● We need to get signs with rules posted. Everybody please bring a list of rules to
the next meeting so that we can discuss them all together and get signs made.
